Audio Visual Needs

ALL audio-visual needs should be specified in your original event proposal. There are sometimes costs associated with these items, and some are in short supply, so it is crucial for the success of your event that you make these needs known in the very beginning of the planning process!

Projector and Laptop

If you are in need of a projector and laptop for your event, the first step is to inform the S-CAR Event Coordinator. In most cases, this individual will be able to reserve the necessary equipment for you. However, the process varies depending on location.

Rooms in the Truland Building – Contact the S-CAR Event Coordinator. (703) 993-9402. Office: Truland 702

Rooms in Founders Hall –

  • First, contact the Office of Events Management to see if your event can be placed in a room that is already equipped with this technology. (This should be indicated in your original event request when you submit it online). (see page 7).
  • If you are not able to reserve a room that already has this technology installed, you’ll need to contact Arlington Classroom Support at (703) 993-8226. They can provide you with both laptops and projectors for classes and events in this building. In most cases, you’ll be asked to pick up your reserved technology before the event and return it afterwards.
Microphones

Microphones are available for events in both the Truland Building and in Founders Hall.

Rooms in the Truland Building – Contact the S-CAR Event Coordinator: (703) 993-9402. This person will be able to make sure the sound system is set up in the room you desire (normally this is only done in room 555 and 700 West). NOTE: there are three wireless microphones for use in this building; all other mics must be attached to our sound system in order to function.

Rooms in Founders Hall – Wireless microphones are available for several of the larger presentation rooms in Founders Hall, however there is normally a charge attached for the use of them. Make sure that you indicate this need in your online form when requesting the use of rooms in this building. (see page 5).

Filming

If you would like your event filmed, please indicate this desire as soon as possible, but no later than a week before the event. We’ll need to arrange to have staff present to actually do the filming, so this requires advanced scheduling.

Please see our filming policy at: http://scar.gmu.edu/main-site/8855 and make sure that you get all necessary consent from outside speakers or presenters. (This information should be submitted to the S-CAR Event Coordinator so it may be kept on file).

Extras

Any other audio/visual needs (flipcharts, markers, easels…) should be negotiated with the S-CAR Event Coordinator for the Truland Building, or noted on your online space request form for Founders Hall. As with the above needs, note that there may be costs attached to having these items provided by the Office of Events Management for Founders Hall spaces.
